Job Overview
The Project Coordinator sits at the center of project execution. You will be responsible for keeping timelines tight, communication clear, and systems organized across multiple projects at once.
This role is ideal for someone who is highly detail-oriented, operationally minded, and excited to work within a fast-paced creative environment. You should be someone who brings structure to ambiguity, anticipates needs before they arise, and takes pride in keeping things running smoothly behind the scenes.
Key Responsibilities
- Support Project Leads in day-to-day project execution across multiple workstreams
- Coordinate internal and external meetings, including scheduling, agenda setting, and note-taking
- Maintain project documentation across Airtable and project hubs, ensuring information is accurate, up to date, and accessible
- Track deliverables and follow up with internal teams and freelancers to ensure deadlines are met
- Coordinate communications with external partners, including freelancers, vendors, and on-camera talent, ensuring clarity on timelines, deliverables, and expectations
- Support onboarding of freelancers, vendors, and talent, including contracts, documentation, and system access
- Help manage day-to-day talent logistics and communication in partnership with Project Leads and Production, ensuring a high-touch and organized experience
- Help facilitate clear communication between creative, production, and client teams
Qualifications
- 1 to 3 years of experience in a project coordination, production, or operations role within a creative agency, production company, or similar environment
- Strong organizational skills with the ability to manage multiple projects simultaneously
- High attention to detail and a strong sense of ownership over your work
- Clear and professional communication skills, both written and verbal
- Ability to stay calm and solutions-oriented in a fast-paced, deadline-driven environment
- Familiarity with project management tools such as Airtable, Notion, Harvest, or similar platforms
- Understanding of creative and production workflows
- Proactive mindset with a willingness to step in and solve problems without being asked
Engagement Details
- This is a freelance, project based role with variable scope depending on client and studio needs.
- Compensation will be hourly or project based, commensurate with experience and scope of work.
- Remote work is acceptable, with availability during core collaboration hours required.
